West Chester University of Pennsylvania’s department of Registrar’s Office invites applicants for the position of Management Technician, Graduation Analyst. Working under the direction of the Assistant Registrar for Operations, Processing and Credentials, the Graduation Analyst is responsible for the timely review of each graduation applicants’ general education requirements. This individual oversees the process in which all student record information is compiled to conduct the final graduation clearance review within various systems including PeopleSoft, OnBase, and other software applications. This includes maintaining current knowledge regarding all of the university’s policies and general education requirements, including requirements as they relate to the students’ admit term; coordinating with the academic department chairpersons and/or faculty regarding the requirements for each major and minor applicable to the student; processing all necessary reports and communication with academic departments regarding the degree progress report and graduation clearances; and, determining appropriate internal WCU credit to award for transfer work understanding of transfer guidelines. This work is high volume, detail oriented, and requires the ability to work independently to troubleshoot system errors and curricular discrepancies. Responsibilities include: - Clearing of General Education Requirements and transfer articulation:
- Run degree progress reports for graduation applicants and review reports to assure accuracy.
- Scan appropriate documentation into document management system to maintain complete, accurate records pertaining to graduation clearance.
- Notify by letter any student with incomplete or unsatisfied requirements for graduation.
- Assign transfer equivalencies using the existing equivalency database and process transfer credit when appropriate based on University policy.
- Graduating students:
- Serve as a point of contact regarding graduation clearance for the faculty, chairs, advisors, and students.
- Research records of former students and previous catalogs as needed to facilitate graduation clearance for former students.
- Prepare commencement materials.
- Process reports to generate diplomas for each graduating student and process orders for former students requesting replacement diplomas. Proofread diploma order spreadsheets for accuracy.
- General:
- Consults with staff, faculty and students in a professional manner on complex matters that directly impacts student's academic records, and University Policies.
- All staff in the Registrar's Office are responsible for: processing request forms submitted by students, maintaining student record files, responding to the needs of the customers (faculty, staff, students, external agencies, etc.) by telephone, email, text, and/or in person in a timely, professional, courteous manner, explaining university policies to customers, explaining various myWCU tools, cover the front desk and reception phone, assist Registrar with commencement activities.
- Performs other duties as assigned and/or as needed to provide excellent customer service and meet the needs of the Registrar's Office, Registrar's staff, and the University.
- Processes other requests in a timely fashion following federal (FERPA) and institutional policies and guidelines.
Minimum Qualifications Three years of advanced clerical or para-professional work which included the collection, recording, compilation and presentation of office management or program related information
OR
Any equivalent combination of experience and training. An Associate's Degree may be substituted for two years of required experience. Required Knowledge, Skills and Abilities: - Ability to use a computer to collect, compile, and assemble data and reports - Ability to perform detailed work involving written information by preparing reports of findings according to appropriate standards of content, clarity, grammar, and format - Ability to develop and maintain effective working relationships with associates in the performance of work - Ability to analyze varied data by applying the information against interpretive standards in the formulation of recommended action - Ability to identify problems and recognize appropriate solutions as a result of the analysis of data -Ability to communicate and work collaboratively with multiple constituencies Special Instructions Excellent benefits package including tuition fee waiver for self and dependents.
