Detailed Job Description This position will provide comprehensive administrative support to the School of Interactive Games & Media. The position also maintains a records management system ensuring accuracy, compliance requirements, and confidentiality for over 800 student undergraduate and graduate students by preparing all academic action documents including registration corrections, change of grades, withdrawals, leave of absences, program changes, suspensions, transfers and graduation audits. The position also directly supports students by providing backup and as-needed in the online accounting system for student hire and payroll actions, co-op registrations and grade entries, and developing new supplemental documents and processes for recurring student requests.
Provide organizational, communication and coordination support for the Graduate program director/advisor.
Manage and process all incoming graduate student records during the admissions process
Collaborate with Graduate Enrollment, Graduate studies and International Student Services to plan and execute graduate student orientation program.
Coordinate and organize graduate student meetings as needed.
Interact with Graduate Enrollment, ISS and ELC to ensure that graduate students have all necessary admissions
Work in close dialogue with the Financial Aid and Student Financial Services offices to manage the graduate merit scholarships process.
Maintain the student records infrastructure by ensuring accuracy, compliance and confidentiality for over 800 student undergraduate and graduate students; prepare and appropriately document all academic actions including registration corrections, change of grades, withdrawals, leave of absences, program changes, suspensions, transfers and graduation audits. Effectively use the student records infrastructure to review graduation galleys for commencement, administratively assist in degree audits, graduation certification, and timely records retrieval.
Using the student registration system:
Maintain and monitor co-op registrations; maintain evaluation system and input grades for co-op students.
Correctly identify honors students using grade point criteria.
Hire, train, and supervise student office workers and provide back-up and as needed for student payroll actions using student timekeeping system and online accounting system.
Assist Operations Manager with commencement related responsibilities.
Assist with the building schedules and registration of incoming first-year students.
Other duties as assigned.

The School of Interactive Games and Media (IGM) Committed to excellence in teaching and research, IGMs programs, coursework, research, and development efforts provide over 800 undergraduates and nearly 60 graduate students with the knowledge and skills to pursue meaningful and rewarding careers in media-centric, interactive software development, while simultaneously advancing the field and helping to provide a well-rounded educational experience. IGM faculty also participate in the college-wide PhD Program in Computing and Information Sciences, which has 100 current doctoral students in the program.
IGMs students are involved regularly in game jams, independent creative projects and, with a 96% placement rate, graduates have obtained high-profile jobs as game designers and developers at AAA companies.
IGM supports and encourages creative and collaborative academic inquiry, by both faculty and students, and is committed to excellence in both teaching and scholarship. IGM faculty have active, externally funded research from organizations such as the National Science Foundation, National Endowment for the Humanities, and the game industry.
Faculty are taking games construction analysis one step further to include the artistic and technical processes constructing level or environmental design and creating more enriching and visually masterful video games and 2D/3D animations. Other faculty interest areas of game delivery environments include game localization and mobile games. IGM faculty are at the forefront of new games media such as 3D virtual reality (VR) and augmented reality (AR) games, including location-based and place-based Geo, tourism game applications, mobile games, and the use of artificial intelligence.

Required Minimum Qualifications
Three years of related office experience preferably in higher education.
Excellent interpersonal skills.
Experience with academic policies and practices, student tracking and record keeping systems.
Evidence of organizational and problem-solving skills and the ability to work collaboratively as well as independently.
Excellent time management and organizational skills, initiative and resourcefulness.
Flexibility and the ability to be able to perform successfully when challenged by changing workflow priorities.
Effective oral and written communication skills.
Intermediate-level proficiency in the use of the student registration system and student timekeeping system.
