Coordinator, Senior Associate Dean - Administrative Affairs

Position Summary

Supervised by the Senior Associate Dean, Administrative Affairs in the School of Professional Studies, the Coordinator provides operational and administrative support to the Senior Associate Dean of Administration; and maintains discretion and professionalism while dealing with highly confidential information.

Responsibilities

Serve as operational coordinator for the Office of the Senior Associate Dean, providing overall support Tasks include but are not limited to:

• Serve as the first point of contact for visitors of Office of the Senior Associate Dean, many of whom are high profile, and direct incoming guests to the appropriate location
• Act as liaison between the Senior Associate Dean and colleagues, students, faculty, staff, alumni, and donors
• Maintain calendars, internal and external
• Plan all travel plan (domestic and international) and process reimbursements for Senior Associate Dean
• Create itineraries based on Senior Associate Dean's meeting schedules
• Manage incoming calls with proper judgment and professionalism
• Manage conference room scheduling and calendars
• Act as liaison and coordinate with CU catering and outside food vendors for meetings and events
• Assist with technology setup/coordination for meetings and events, with comprehensive understanding of the utilized technologies
• Ensure smooth function of workflow and coordination of projects across the Administrative  Affairs Units including calendar conflicts, meetings, and logistics
• Draft and initiate correspondence, including public presentations and classroom lectures
• Coordinate communication and assist with meeting and event planning, implementation, and tracking (e.g. annual events; governance and advisory board meetings, etc.)
• Assist with strategic project planning and implementation
• Project research and coordination, as needed
• Performs other duties and projects, as necessary

Minimum Qualifications

• Bachelor's degree and/or equivalent related experience required
• 2 years related experience

Preferred Qualifications

• Familiarity with related Columbia systems and regulations
• Event management experience
• Experience working with faculty, administrators and students desirable

• Excellent organizational, interpersonal and communication skills 
• Ability to understand office priorities and be proactive
• Ability to work under pressure and deadlines, and carry out multiple tasks independently, with limited supervision
• Attention to detail and accuracy
• High level of proficiency with PC and Mac platforms, including the following programs: Microsoft Office Suite, Adobe, Skype, Internet, and email applications
• Track record of handling sensitive information with the highest level of professionalism and confidentiality
• Excellent capacity to think critically and to make sound decisions
