Job Description Office/Administrative Service Supervisor Posting Working Title: Application Logistics Manager
Overview This is a managerial position in the Application Logistics Unit in the Office of Admissions at the University of Minnesota Twin Cities. This office facilitates the recruitment and enrollment of an academically prepared and diverse undergraduate student body, and we are #UMNProud of the students we bring to our community. This position serves as a manager who oversees and is responsible for the day-to-day operations of the unit. This unit sits within the Information & Innovation team.
The Application Logistics Unit is responsible for the thoughtful and expedient management of inbound application materials and outbound promotional materials. The daily work of this unit has a direct impact on applicants—we strive to make it easy to apply to the U of M and easy to track the receipt of materials. This position would be a great fit for a Golden Gopher professional who is methodical and efficient, but also approachable and service-oriented.
Manage and Operate Application Logistics Unit (45%) • Oversee and coordinate the daily operations of the unit. • Supervise one full-time Office and Administrative Specialist and several student staff and/or seasonal temporary workers. • Create a work environment and team culture that is respectful, inclusive, and communicative. • Plan staff schedules to achieve necessary turnaround times. • Responsibly and creatively manage budget. • Hire and train staff at multiple levels and in multiple roles. • Serve as liaison with other admissions units, for requests, questions and/or problem resolution related to application logistics. Application Operations (40%) • Monitor imaging workflow queues, prioritize workload and delegate work to staff. Adjust priorities as needed. • Download and import electronic documents from several vendors, including both domestic and international documents. • Coordinate the preparation, scanning and indexing of application materials. • Coordinate confidential processing, storage, retention, and appropriate disposal of paper records. • Manage progress of prospect card data entry. Consult with recruitment counselors on prioritization and resolution of errors. • Create and maintain training documentation and keep staff informed of current business processes. • Search for unmatched documents as requested by other units within the Office of Admissions and provide follow-up. • Facilitate occasional mailings to applicants, prospective students, and high schools. Collaborate with Addressing and Mailing and Campus Courier to expedite these mailings. • Coordinate delivery of University promotional materials for recruitment travel.
Other Admissions and Administrative Tasks (15%) • Maintain knowledge of business processes in the Office of Admissions. Support staff and tasks across other Admissions units as necessitated by fluctuating workflows and staff availability. • Meet all office-wide requirements for diversity, equity and inclusion work and professional development as identified by supervisor and DEI Office Committee. • Maintain storage area and supply cabinet, order recycle bins. Assist with moving of office supplies, recycling, and other physical tasks related to operation of unit. Serve as backup for the ordering of office supplies. Salary Range for this position is $55,000-57,000 depending on qualifications
Office location note: The University of Minnesota has many staff working remotely through June 2021, but this position is a hybrid model with some in-person components in Williamson Hall and some remote components. |
