Administrative Specialist II Office of Student Involvement This full-time position is essential to the student-centered experiences in the Office of Student Involvement and beyond. The position provides institutional coordination for event management in the 25Live scheduling system, as well as directly supports operations and logistics of events and activities. Responsibilities: Serve as a University 25Live administrator on campus and be responsible for supporting, directing, and leading the university scheduling system. - Advise students, faculty, staff, and community members on event planning needs; prepare diagrams, coordinate reservations, and utilize the current schedule systems.
- Ensure event success and safety by proactively considering each event in regards to risk and consequence; support details including resource allocation, transition times, etc.
- Liaise with key collaborators in Sodexo, Physical Plant, Information Technology, Admissions, Advancement & Alumni Relations, and Registered Student Organization leadership.
- Responsible for nearly 8,000 reservations per year in the 25Live system including major events like orientation programs, Homecoming, All in for Wesleyan, The Big Show, etc.
Assist Director in the operations and event management of the Hansen Student Center - Provide support (hiring, training, and day-to-day management) of the 15+ student employees including Hansen Crew and Info Desk Managers
- Manage work orders for building management in Asset Essentials; communicate regularly with Physical Plant staff
- Manage the scheduling and resourcing to 290 events (with average of 17,100 attendances in sum) per academic year hosted in the Hansen Student Center
Support 500+ (32% of campus population) fraternity and sorority members in their residential, membership, and community experience - Maintains accurate membership rosters through communication with chapter leaders and advisors; ensure housing software has updated information on housing rosters.
- Manage and submit work orders, as needed, to ensure healthy and safe living experience in fraternity housing.
- Oversee the management and check-out process for fraternity housing keys; facilitate the damage billing process for all university-owned fraternity housing.
- Maintain current and historical data for the fraternity and sorority community.
Coordinate the daily operations in the Office of Student Involvement by creating an environment of inclusion and student-centeredness. - Track the office budgets and reconcile credit card transactions; indirectly support the Campus Activities Board, Student Senate, Interfraternity Council, and College Panhellenic budgeting/spending process.
- Navigate and communicate items related to registered student organization management with the professional staff.
- Serve on University committees, as needed, on behalf of the Office of Student Involvement.
Requirements: - High school diploma/GED required; Associate’s degree preferred
- Minimum of 3 years’ relevant experience
- Working knowledge of office skills concepts, practices and procedures; Google Suite, Microsoft Office; event management/logistics
