The department of Residence Life at West Virginia University is seeking applications for a Night Staff Desk Manager. This position is responsible for providing a customer service atmosphere at the entrances of a University Residence Hall while controlling access to residents and authorized faculty and staff to provide appropriate building safety and security.
In order to be successful in this position, the ideal candidate will:
Serve as the primary contact for any/all security issues for the Residential Halls (2200-2500 resident students and approximately 40 student/staff members on the downtown, Sunnyside, or Evansdale area). Maintain daily contact with UPD and other University departments and staff as necessary.
Carry out residence hall procedures related to hall security when residence halls are open - checking and verifying student and staff ID's, verifying guest registration, conducting hall roves and checking perimeter doors as necessary. Keep appropriate staff apprised of any and all emergencies and respond to residence hall situations that might involve policy violations, emergencies and other community concerns.
Enforce all residence hall policies and community standards. Act as the lead in confronting policy violations. Submit detailed information reports of all such incidents.
Interact regularly with live-in staff and call upon them as necessary.
Coordinate the operation of the residence hall main desk. Ensure that student staff, Graduate Assistants, Conference staff (May - August) are providing appropriate customer service and maintaining security and procedural integrity.
Serve as information source for residence hall main desk areas, e.g. answer telephones, answer questions, access student directory.
Serve as the initial emergency contact as necessary (e.g. student illness, death, serious injury) by contacting necessary staff/agencies e.g. Area Advisor, Conference Manager (May - August), Residence Hall Coordinators, University Police, EMS and other staff.
Direct student concerns to the appropriate Department and University staff. Access on-duty paraprofessional staff as necessary.
Maintain daily contact - in person and/or electronically - with Residence Life Assistant Director for Night Staff, Conference Manager (May - August), Residence Hall Coordinator and Facilities staff for purposes of keeping them informed about student and staff issues of concern, including but not limited to resident behavior, facility issues, and questions regarding residence hall procedures and policies.
In written form, maintain a daily log of hall concerns, response to those concerns, and pertinent information about daily activities within hall. Organize this information for the purpose of filing.
Log and distribute temporary keys to students who have been locked out of their rooms. Maintain accurate key control files and report key control concerns to Residence Life Assistant Director for Night Staff, day shift Main Desk staff and Facilities manager.
Serve as the initial reporting point for facility work order requests. Receive information from internal and external customers. Evaluate, prioritize and enter work order information. Dispatch appropriate personnel when necessary. Keep Residence Life Assistant Director for Night Staff, Conference Manager (May - August), and/or Residence Hall Coordinators informed of such matters.
Coordinate the schedule for 40+ Hourly Night Assistants and approximately 4 Graduate Assistants. Maintain attendance and time logs, including the use of Computerized Time Record software.
Assist with administrative or facilities work when residence halls are closed for breaks, i.e., Thanksgiving, Winter Break and Spring Break.
Work primarily nights (August to May), evenings (May - August), and weekends.
Log vending machine problems and report to day-shift Main Desk staff.
Participate in Resident Assistant training prior to the start of each academic semester. Participate in Conference staff training each May.
Participate in on going staff development as deemed necessary by Residence Life Assistant Director for Night Staff.
In the absence of the Residence Life Assistant Director for Night Staff, incumbent may be asked to contact all halls to ensure proper main desk coverage. Assist other Night Staff Desk Manager with any problems that may occur in the absence of the Residence Life Assistant Director for Night Staff.
Additional Duties during Summer Conferences - May - August
Efficiently execute guest check-in and check-out procedures in conference system database.
Issue keys and meal wrist bands to guests.
Cash handling responsibilities. Accept payments via cash, check and credit card.
Work Hours : Midnight to 8:00 am
Pay Grade : 9
This is a live-out position.
High School Diploma required or equivalent. Clerical/Computer training beyond high school preferred. Must be able to speak and write in the English language. Must know English grammar, spelling, punctuation, and simple mathematical functions or equivalent.
Basic office skills e.g. filing, typing, telephone skills, some computer skills, with a working knowledge of Word preferred.
Requires ability to make sound, independent, judgments and work autonomously especially given the shift and the likelihood of student behavioral issues, and related emergencies.
Must be able to become familiar with all University and Departmental policies and procedures.
Must possess ability to provide supervision and training to student workers.
Must have confrontational skills and the ability to exercise excellent judgment under stressful conditions.
