This position is responsible for all the administrative and management support to the TRiO offices on each campus to ensure efficient operations. Responsibilities include assisting in student engagement and retention strategy implementation to support academic and personal success; creating and maintaining documents and files; serves as the expert on travel and purchasing for the office and works in collaboration to maintain and reconcile the budget. This position provides services to meet the required enrollment, retention, graduation and transfer objectives of the TRiO grant. Oversees the performance of work-studies. *This position is funded through a grant and is contingent upon renewal of funding. The anticipated start date is March 25, 2021.* Core Responsibilities: * Analyzes and provides reports/data to the Director to demonstrate individual student performance within the projects reporting areas: semester grades, term and cumulative GPAs, financial aid recipients and award amounts, fall-to-fall retention, academic status, graduation/transfer, add/drop list, SAP list. * Enters studentâs participation in both college and project required services and activities in database and individual student folders. * Maintains a specialized database of all students served since the Projectâs inception (2005), to include all counselor contacts, advising notes, GPAâs, graduation date, transfer date, activities and events. * Collects, compiles and maintains project data required by the U.S. Department of Education. * Uses TRiO-specific database, BLUMEN, to enter required student data and to provide information for necessary reports, including the federal annual performance report. * Creates participant folders and maintains confidential project student records. * Assists Project Director in preparing and processing all pertinent institutional and project written communication via forms, letters, email and paperwork for internal/external distribution. * Provides project participants with necessary forms and information for applying to and receiving project services. * Checks PeopleSoft each semester for TRiO enrollment records; moves participantsâ folders as appropriate. * Maintains the projectâs Blackboard or Canvas site by posting flyers, event information, announcements, etc. * Maintains and reconciles the project budget using EXCEL and AIS to include monthly reconciliation of expenditures with the Project Director and the collegeâs Grants Specialist. * Assists the Director in creating each fiscal yearâs budget by giving an end of year expenditure analysis of current year. * Collects, records, and deposits to TNCC Business office deposits (from students) required for specific TRiO cultural enrichment activities. * Researches and processes all requisitions through Shared Services for supplies, printing, equipment, participant travel, and student-related requisitions to include all conference registrations. * Provide administrative support for TRiO on both campuses. * Conducts thorough pre-screening interviews of potential TRiO students to determine the need for academic support and if meet federal criteria for program; makes recommendations to Director. * Interprets TRiO interest forms and contacts students for pre-screening appointment if they qualify. * Serves as liaison for referrals to other offices based on student needs; provides follow-up on all referrals. * Provides mid and end of semester student progress reports to all TRiO staff (visits, workshops attended, tutoring appointments, etc.). * Conducts follow-up activities for inactive participants. * Supports Jump Start (Freshman Summer Orientation) on both campuses as needed. * Assists students in all aspects of the process for scholarship submissions. * Serves as academic coach to participants in providing educational resources, websites, on-line assessments for improved coursework. * Uses MS Office and other appropriate software to prepare various documents in the TRiO Office. * Creates and proofs all TRIO marketing materials before submission and throughout publication process. * Maintains email distribution list, using Excel, for the TRiO office and creates and sends appropriate emails and text messages to participants. * Communicates effectively with internal and external clients in-person, via email and phone/voicemail by using best-practices in customer service. * Hires, trains, and provides leadership to college work-study students (prepare memos, certificates, flyers, letters, signs, labels and forms; student folders). * Monitors and approves work-study time sheet submissions in HR PeopleSoft. * Plans and coordinates details of TRIO project special events (mandatory meetings, workshops, cultural enrichment activities, 4-year college visits, Etiquette Luncheon, Awards Ceremony, etc.)
