Training Events/Meeting Coordinator - (2100002N) The University of Maryland, Baltimore (UMB), School of Medicine - Department of Psychiatry - Training Center has an exciting opportunity for an Events Coordinator to work under general supervision providing administrative, secretarial and clerical support. The position involves coordination and management of conference/training planning activities. The incumbent should demonstrate the ability to exercise leadership, independence and creativity that requires independent judgment and action with considerable responsibility. The incumbent is expected to work in a team environment as a valued member of office staff. Some local travel is involved. This position reports to Catonsville, MD. Essential Functions: - Assist in coordinating and facilitating virtual and in-person conference/training events. Coordination of the conference/training events may include hosting virtual Webex webinars; securing venue sites, securing catering services, negotiating and securing overnight lodging agreements, securing and scheduling of IT services and equipment rental, and scheduling of all conference presenters.
- Maintain large databases of attendees for Training Center-sponsored conference/training events; generate mass email mailings to those behavioral health stakeholders in the databases, as training events are scheduled.
- Track and maintain registration information, via the online registration process, for the various training events sponsored by the Training Center.
- Assist in creating/designing invitation letters, registration forms, agendas and evaluation forms for training events. Compile and generate reports from conference evaluations.
- Provide virtual and/or on-site support at the registration check-in for training events; and assist in providing logistical support to ensure that training events proceed seamlessly and successfully.
- Assist in receiving and processing training fee payments received; and providing reports regarding funds received.
- Maintain complete and accurate files of all training events which award CEUs, in order to maintain compliance with the Maryland Department of Health Boards of Social Work Examiners, Psychologists, and Counselors and Therapists under which the Training Center is authorized to award CEUs.
- Receive and screens telephone calls. Independently handle procedural and substantive matters or refer callers to others as appropriate.
Qualifications Education: Bachelor's degree in Communications, Marketing or Business or related field. Experience: Two (2) years of experience in event or meeting management, public or client relations. Other: May consider a combination of directly related experience and education. Knowledge, Skills, and Abilities: Position requires attention to detail and ability to work independently, as well as strong communication, organizational, problem solving and interpersonal skills. Candidate must be able to manage multiple priorities and projects and will possess skills in composing a variety of correspondence, in hosting virtual webinar trainings, managing filing systems, and in gathering and summarizing information. Preferred candidate will have knowledge and experience with Cisco Webex Meeting & Training, Zoom Meeting/webinar, EventRebels (event planning software), Microsoft Office Access, Word, Publisher and Excel, and must be skilled in use of E-mail and Internet. The Hiring Range for this position is low to mid $40,000s, commensurate with education and experience.
