College Advising Coordinator - Office of College Advising
Anticipated start date - March 1, 2021
This is a full-time, non-exempt, 12-month position and will require occasional work on nights and weekends throughout the year. The College Advising Coordinator reports to the Director of College Advising and works collaboratively as a member of the College Advising team, providing administrative and programmatic support to all members of the College Advising team and is responsible for the day-to-day administrative operations. Responsibilities include scheduling and coordinating College visits and ensuring that college application files are completed efficiently and thoroughly. Provide general administrative support for all college advisors and support of College Advising events and programs. This position requires an appreciation of the college counseling annual cycle, the ability to work with many different constituents, and the ability to establish and maintain office procedures in an ever-changing college admissions landscape. Organization, attention to detail, precise and accurate communication, comfort with technology, and confidentiality are essential.
Acts as departmental first point-of-contact for students, parents, the public, and college admissions professionals. Schedule and facilitate college admissions representative visits and monitor student attendance.
Coordinates all application processing: submits all materials to colleges
Keeps accurate and meticulous student records using Scoir, a web-based software database.
Coordinates and manages the use of several web-based software programs for the office, including SCOIR, Common App, Blackbaud, etc.
Schedules, coordinates, promote, and provide logistical support for college advising events. Occasional nights and weekends will be required.
Maintains the College Advising Office mail, files, bulletin boards, and various displays/materials within the College Advising Office. Monitors, stocks, and displays information necessary for college admissions and enrichment opportunities.
Assists in regular reports to the Board of Trustees; Provides administrative offices at KO with data related to College Advising.
Monitors the information included on the KO website and coordinates updates.
Qualifications & Skills
Bachelor's degree, or the equivalent combination of education, training, and experience from which comparable skills can be acquired;
Experience working in an academic environment, specifically with high school or college age students, is preferred.
Ability to work collaboratively; Must be excited to be part of a team.
Ability to provide a positive representation of the school and the department to students, their families, college representatives, and visitors.
Superior organizational skills; Attention to detail, follow-through, ability to multitask and prioritize.
Ability to work under the pressure of deadlines.
Ability to anticipate and communicate information to assist in the timely completion of the college application process for each student.
Excellent verbal/written communication and interpersonal skills, as well as strong computer skills, including proficiency in Google Suite of products, MS Office (Outlook, Word, Excel), and web-based programs.
Ability to work with various databases and be proficient in import/export and data analysis functions.
Maintain a high level of discretion, tact, and sound judgment in light of the highly sensitive and confidential nature of work.
