Under the supervision of Administrative Supervisor, incumbent is responsible for providing professional administrative coordination and support for divisional faculty requiring tact, diplomacy, and discretion on a wide variety of complex and sensitive issues. While performing their duties, the incumbent must demonstrate a high degree of professionalism in a rapidly changing, time-pressured environment. Duties will include but not be limited to providing administrative support, organizing and managing complex schedules, assist in planning of special functions, and other duties, as assigned.
Undertake special projects within the Department of Neurosurgery, as assigned. Specifically related to Department communications platforms, including but not limited to researching and coordinating draft communications materials, creating and managing mailing lists, compiling robust research/information and concept/creation materials regarding all facets of each platform (social media, faculty profiles, both websites, etc.), organizing communications related meetings and minutes, sourcing content for communication modalities, and other duties as assigned.
Four (4) years of related experience, education/training, OR a Bachelor's degree in related area.
Proven ability to coordinate complex schedules, seminars and conferences. Ability to negotiate events, services, meeting facilities, catering and other amenities.
Strong computer skills with working knowledge of microcomputer systems and various business software programs.
Demonstrated ability to navigate social media and communications platforms.
Strong ability to prepare, edit and proof-read communications materials, internal and external documents, and course syllabi.
Ability to meet deadlines and work effectively with a diverse group.
Demonstrated excellent written and verbal communication skills.
Skill at researching, compiling, and organizing information.
Strong organizational skills and ability to maintain accurate work flow with changing priorities in an often hectic environment.
Skill to work independently, exercise good judgement, identify problems, interpret policy and recommend solutions. Must be able to maintain absolute strict confidentiality.
Knowledge of campus locations, hotel and other meeting sites in the San Diego area. Ability to investigate and evaluate facilities for potential use as meeting sites.
Knowledge of marketing and publicity, resources and costs. Ability to determine specific promotional needs.
