Presidio Graduate School (PGS) is embarking upon an exciting new chapter of growth and program expansion, and we are looking for an Outreach and Admissions Specialist to support our Enrollment efforts.
In this role, you will act as a representative of PGS to prospective students, be responsible for assisting prospective students in their inquiry as they consider enrollment into PGS programs; and assist the Associate Director of Admissions (ADOA) as needed.
This is an entry-level position for an emerging professional with an interest to gain experience in a mission driven organization. This position reports to the Director of Admissions (DOA).
Job Duties & Responsibilities
Represents PGS to prospective students.
Provides prospective students with information about all aspects of graduate programs, including academics, student experience, alumni success.
Serves as an initial point of contact for admissions office; maintains contact with prospective students and applicants, answering questions, making/returning phone calls, responding to email messages, referring students to appropriate resources.
Coordinates class visits for prospective students
Represents PGS career days, graduate school fairs, and similar venues.
Coordinates receipt and tracking of application materials and documents during the application process; schedules admissions interviews for applicants; schedules registration appointments for new students once accepted; works collaboratively and communicates directly with Registrar, Academic Advisors, Student Services, and Financial Aid Office during admissions and registration processes.
Assists the Associate Director of Admissions (ADOA) with planning and preparation of new student orientation.
Assists the Associate Director of Admissions (ADOA) to coordinate, plan, and promote special admission on-campus events including graduate program information sessions and prospective student weekends; participates as an admissions representative during these events.
Reports regularly, as requested, to the Director of Admissions (DOA) regarding admissions activities, numbers of inquiries, and status of applications.
Completes general Admissions office duties including photocopying, digitally or physically filing, printing, laminating, supply ordering, and sorting mail pertaining to Admissions processes.
Answers main Admissions phone line, Data entry; filing; checking messages and returning calls
Assists in setting student appointments
Working non-traditional work hours, including evenings and weekends, primarily for phone contacts with prospective students or admissions events
executing and carrying out new marketing strategies related to the impacts of COVID-19
Performs other Admissions duties as assigned
Experience with CRM particularly Salesforce or marketing automation software and databases
Minimum 3 years’ experience working in college setting - preferably graduate level admissions OR similar experience acting as a representative of a company or organization

Excellent written and oral communication skills: must possess the ability to convey complex information in an articulate and engaging manner; must be comfortable speaking/presenting to individuals and small groups
Ability to listen attentively, to relate, and to respond to concerns in an appropriate manner with sensitivity and tact
Experience communicating in a professional manner with diverse groups of people from different geographic, socioeconomic, and professional backgrounds
Skill in conversing, and conveying information, expressing oneself, and participating in discussing and exchanging information
