Assistant to the Dean

Purpose of Position: Provide professional administrative support to the Dean of the College of Informatics in the daily execution of his or her responsibilities. Serve as a communication link between the Office of the Dean and other administrative offices on campus, the departments of the college, and faculty, staff and students. Provide a professional “front-door” experience for numerous external constituents, clients, and visitors Primary Responsibilities : Maintain and coordinate the daily and long-range schedule of the dean, exercising a high level of professional judgment in deciding between conflicting events and issues. Provide leadership in establishing and coordinating meetings related to the dean's activities, both internal and external to the university. Make travel arrangements and coordinate reimbursements. Prepare agendas and collect materials for meetings; prepare meeting minutes. Screen and determine the appropriate response to the dean's incoming contacts (calls, email, and walk-ins). These contacts often involve confidential and sensitive information. Order supplies and equipment. Anticipate and manage key deadlines. Ensure that important issues are brought expeditiously to the attention of the dean. Work with office personnel to improve communications and teamwork. Coordinate special projects. Establish and maintain an efficient and up-to-date records management system, including computerized records. Compose and proof letters or memoranda. Organize and implement procedures to effectively and efficiently complete assignments. Prepare information needed by the dean. Qualifications : Bachelor's degree plus two years experience required. Experience in higher education, particularly in senior administration, is preferred. Thorough proficiency in the advanced features of Outlook, Word and Excel is required. Must be able to work under pressure, balancing multiple tasks. Ability to handle responsibilities that are confidential and sensitive in nature in a professional manner is essential.
