Provide administrative support for the Center for Astrophysics and Space Sciences to faculty, P.I.s, Researchers, MSO and staff. Incumbent will utilize MS Word, Excel, LaTex, PowerPoint and Eudora to complete variety of tasks. Type and edit as appropriate scientific abstracts, publications, presentation materials, proposals, biographies and independently compose letters and memos when required.
Responsible for coordinating travel arrangements following UC travel policy and procedures and all related on-line forms. Assist laboratories with low and high value purchasing either via purchasing card or purchase orders. Responsible for processing reimbursements, payment authorizations, wire transfers, etc.
Provide telephone contact, taking independent action as appropriate. Sort/distribute mail and complete on-line shipping and FedEx forms. Assist labs with national and international shipments to remote site work locations. Work with the faculty to facilitate classroom requirements. Event planning including coordinating arrangements for parking, catering, and audio/visual needs. Maintain an extensive filing system electronically as well as paper, providing efficient retrieval.
Graduation from high school or a GED and two (2) years of experience in a health or social service field; or an equivalent combination of education and experience.
Proven ability to effectively perform in a busy office environment. Proven ability to answer, screen, direct calls/visitors, take messages, and assist with questions.
Demonstrated ability to organize and maintain complex calendars and schedules.
Ability to type and edit using proper format and mathematical equations/ technical terms: abstracts, publications, presentation materials, proposals, bibliographies, etc. using MS Word, Excel, LaTex and PowerPoint.
Working knowledge of scientific terminology and symbols. Must be able to read and type mathematical equations and technical terms and have working knowledge of scientific terminology and symbols.
Highly developed office skills including organizing and maintaining files, using standard office machines and typing/word processing to prepare correspondence and reports.
Excellent writing, editing, spelling and proofreading skills including knowledge of proper formats, grammar, structure and content.
Strong interpersonal and communication skills. Be approachable and diplomatic when interacting with a variety of individuals including faculty, staff, students, and foreign scholars.
Skill in following and interpreting oral and/or written instructions. Ability to maintain confidentiality.
Ability to organize and work efficiently and prioritize assignments to meet deadlines.Demonstrated ability to evaluate situations and make good decisions.
Proven ability to work effectively as a team member.
