Under general supervision, the Program Coordinator II (Work Study) will be responsible for administering and coordinating federal and state grant programs under the supervision of the Financial Aid Manager of Processing (FAMP). The Program Coordinator II (Work Study) will coordinate eligibility-related activities to ensure compliance awarding of federal and state work study programs.
Manages all aspects of the federal and state Work Study Programs. Works with the advising staff on assisting students in the completion of the work study process. Determines or verifies work study eligibility for students. Serves as the liaison for students and staff regarding the federal work study program. Monitors the federal and state work study earnings on a bi-weekly basis. Assists the Director, Associate Director, and FAMP in the development and implementation of policies and procedures to ensure consistency and equity in the delivery of financial aid, specifically work study funds. Coordinates with other departments to ensure the awarding and payroll of work study recipients are aligned.
Works with the Business Office to resolve federal and state work study exception reports. Prepares final work study expenditures to be reported on federal and state fiscal reports. Reviews and resolves discrepancies related to work study eligibility. Conducts quality control and financial aid awards to ensure accuracy of financial aid awards packages as it relates to work study. Provide warning/alerts to campus departments when a student is close to their earning limits.
Works with the FAMP, provides leadership and guidance to departmental working groups. Ensures that the administration of the federal and state work study program is consistent with the laws, regulations and policies governing their administration and coordinates appropriately and timely communication to outreach staff as appropriate. Assists the FAMP with preparing reports for staff, University officials, and external organizations for internal and external audits.
Creates, manages, and revises the policies and procedures manual for the student federal and state work study program(s). With FAMP, provides leadership for identifying opportunities for innovating ways of processing federal direct and state work study. Provides direct support to the FAMP to carry out the recommendations, instructions, and initiatives of the Associate Director and Director of Financial Aid. Serves as a back up to the other Program Coordinator II. Provides training to staff on eligibility related office polices and procedures related to federal, state, and institutional regulations.
Coordinates/Collaborates with the advising staff on research and analysis activities and reports regarding federal and state work study programs and related customer services and intervention. Coordinates with the advising staff to ensure that federal and state work study information is accurately conveyed to financial aid advisors in a timely manner. Provides support to the financial aid advising staff as needed.
Performs other duties as assigned
Required Education and Experience:
Four years of related experience.
Required Knowledge, Skills and Abilities:
Knowledge of word processing, spreadsheet, and database applications.
Ability to multitask and work cooperatively with others.
Verbal and written communication skills.
Must be able to work evenings and/or weekends.
Must not be in default or owe an overpayment of a federal and/or state aid program.
