The Office of Research Administration is currently seeking for a highly motivated Sr. Administrative Assistant who enjoys and excels at providing administrative support in a team environment.
About the Team
The Office of Research Administration (ORA) provides a full range of grant administration and financial support services to the research institute at CSMC. To provide enhanced customer service ORA's customer support teams consist of one or more Grant Officers and Accountants.
These teams provide:
Identification of research funding opportunities
Expertise in the areas of grant application and proposal development
Primary advocacy and liaison with Federal agencies, corporate sponsors, non-profit organizations, and sub-recipient institutions
Guidance, instruction and informational resources to investigators and staff that are performing basic and developmental research, clinical trials, and sponsored medical training
Review and institutional approval of all Sponsored Research proposals.
Under general supervision, the Sr. Administrative Assistant provides administrative support, coordinating all administrative activities of the office. Demonstrates initiative, resourcefulness and problem-solving skills in applying a detailed knowledge of the responsibilities, functions and underlying management structure of the department and of the larger Health System in organizing and prioritizing work, establishing procedures and systems and ensuring the orderly and timely flow of business through the office. Coordinates the clerical and administrative staff workflow through the office. Coordinates and administers human resource and payroll functions and participates in budget review and financial processes. Coordinate and manages support staff, training and development as Staff Development Advisor and Safety Representative to ensure compliance with Cedars Sinai Health System.
Primary Duties and Responsibilities:
Schedules appointments, meetings, and manages complex calendars. Makes arrangements for meetings, conferences, or travel for an individual, group, or department.
Formats, types, and edits correspondence, documents, memos, reports, meeting minutes, and / or presentation materials.
Researches and responds to inquiries and calls, may escalate to other levels of the organization as appropriate.
Compiles appropriate and necessary documentation from multiple sources to assist with grant submission and workforce planning and / or other department reports. May prepare a summary of information or data.
Organize complex statistical and narrative reports, charts, and exhibits into a complete document suitable for publication and distribution.
Distributes and disseminates information within the department and/or unit.
Orders supplies and arranges for equipment maintenance.
Submits, monitors, and tracks invoices, reimbursements, and supply management. May assist with the preparation and submission of expense reports.
Establishes and maintains an internal filing system.
