![]() Webster University Position Number: S0700 Job Description Summary: Responsible for all aspects of extended campus administration including, but not limited to working with faculty, staff, students, and outside vendors; admissions and registration processing; budget management; policy and procedure enforcement; and database input and the processing of all paperwork associated with student applications, transcripts, registrations, payments, financial aid, and veteran's benefits. Interfaces with local business leaders, main campus representatives, and VA representatives. Assists with all on-campus activities. Minimum Qualifications Two years of college coursework and/or equivalent experience Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Internet skills Previous higher education experience Exceptional customer service skills and proven experience Detail oriented with strong analytical skills Strong verbal and written communication skills and editing/proofing skills Strong effective conflict resolution skills Positive attitude with the ability to maintain effective working relations Strong organizational skills Able to manage multiple tasks in a fast-paced environment Able to exercise sound judgment and maintain confidentiality Able to take initiative, be autonomous and self-motivated Able to quickly learn state, federal, and VA regulations and procedures regarding financial aid as well as university policies and procedures Preferred Qualifications Associates or equivalent combination of education and experience Experience with social media Experience with publication software (e.g., Microsoft Publisher, Photoshop, Canva, etc). Knowledge of Webster Universitys practices and procedures Essential Duties Assist students with Financial Aid, explaining financial aid guidelines, Employer Reimbursement process, Stafford Loans process, tuition assistance, collection holds, etc. Oversee and evaluate the requirements for receipt of VA benefits by analyzing and monitoring enrollment, the student financial account, financial aid, and academic records of each benefit recipient. Assist with GI Bill Certifications (Post 9/11 and Voc Rehab), as well as strictly adhere to all VA requirements, policies, and processes regarding the institutions VA approval. Work with Recruitment Coordinator and Director to coordinate and promote student recruitment, enrollment, retention, and student success. Register students for classes and sends email confirmation. Enter all courses into CARS/CX ensuring accuracy. Ensure syllabi are posted on the website and place textbook orders with vendors. Schedule new faculty for WebNet training. Assist students, faculty, staff, and the public by responding to inquiries, requests for information, and any complaints. Analyze and solve technical and/or systemic problems to ensure individual needs are met. Provide student services to promote retention of current students and recruitment of new student prospects. Understand, interpret, and communicate academic policy and procedure, to both students and colleagues across the institution. Work with the Recruiting Coordinator with outreach to the school teachers in the surrounding counties as part of our recruitment efforts for the counseling degree program. Set up advising and prospect appointments. Serve as liaison with main campus for student issues, Financial Aid, and International Student Services. Assemble and maintain faulty, student, vendor, and office files applying knowledge of policy and procedure; forward required paperwork to main campus for processing. Process student, faculty, and staff IDs working with security in St. Louis. Maintain student database (add new students; update names, addresses, phone numbers, etc., as needed); send communications through Constant Contact Assist in developing, compiling, and writing communications and promotional literature for distribution including monthly newsletter, research reports, webinars, PowerPoint presentations, flyers/brochures; update the website and social media outlets; coordinate process from development through printing and distribution. Plan, coordinate, and organize events such as speakers, orientations, trainings, and workshops for faculty, students, and community partners. Assist with a variety of informational and marketing functions, campus sponsored events, conferences both on and off campus including physical set-up for new student orientation, information sessions, etc. Work with advising to identify students not enrolled in upcoming terms and contact as needed. Train and becomes proficient with WebNet+ and other related equipment. Set up classrooms including those used with WebNet+. Responsible for collecting and preparing invoices for processing and spending for programs and managing project supplies. Coordinate office functioning: space access and workspace assignments; computer access; office supplies and organization. Manage the logistics and detailed timelines of projects as assigned. Backup for advisor on Starfish to track student progress. Update staff phone, email, emergency, and student birthday lists. Make new student packets for each term. Oversee janitorial needs, liaison with janitorial company. Monitor maintenance of office equipment; maintains vendor relationships for general office needs and contacts appropriate outside vendors for repairs. Perform other duties as assigned.
