Administrative Specialist I, Department of Nuclear Engineering
This position is the first contact for all incoming undergraduate and graduate students. The students rely on this staff member to be there for assistance in orienting them to the Nuclear Engineering department. Coordinates program acceptance, maintains timetables, collects and compiles student data analytics. Provides administrative support to the Department Head and faculty as needed. Maintains calendars. Accurately schedules appointments. Works with Business Office to process travel requests and reimbursements. Monitors and maintains department email account, including corresponding with parents and students. Takes minutes and maintains records of meetings. Parking permit liaison for the department. Processes procurement card purchases, and Sourcebook updates. Answers main phone line for Department. Supports faculty with the Promotion/Tenure process. Handles printing requests, posters, business cards, etc. Enters online room reservations for meetings, defenses, etc. Provides departmental administrative support as needed.
Academic Coordination activities include the following: Corresponds with applicants to assist them in completing submission of documents. Assists students with registration issues. Enters scholarship authorizations, obtains authorization from funding agency and sends to Financial Aid for processing. Enters overrides for classes. Maintains an Undergraduate student database (name, id, email, date they entered the program, date of graduation, co-op status, concentration).
Maintains contact with applying students to ensure all materials are received and filed in accordance with requirements. Maintains digital record of communications with graduate students regarding information from the Graduate School and other communications. Update SLATE information on all Graduate students (Use SLATE to print off College applications, Transcripts, GRE scores, TOEFL scores). Updates primary advisors in system. Assists with qualifying exams and proctors exams. Maintains exam share-site. Provides information to students regarding past exams. Maintain all Graduate Student Files to include Admission to Candidacy form and Doctoral Appointment form. Attends Director of Graduate Studies meetings.
Manages timetable changes. Sets instructional room scheduling each semester. Serves as point person for classroom coordination.
Provides statistical data such as student enrollment, demographics, credit hours, etc. using several data bases. Compiles student data and materials for ABET and SACS reports, and various ranking surveys.
